Position Summary
The Assistant Estimator / Project Manager supports the estimating and project management teams throughout the bidding, contract administration, and project execution process. This role is responsible for assisting with plan review, quantity takeoffs, bid preparation, subcontractor coordination, contract documentation, project tracking, and billing support to help ensure projects are completed accurately, efficiently, and profitably.
Key Responsibilities
Estimating & Bidding
- Download and obtain project plans, specifications, and bid documents from municipalities and agencies.
- Review plans and specifications to determine project scope and requirements.
- Perform quantity takeoffs, bid summaries and assist in cost estimating.
- Solicit, receive, and organize material supplier and subcontractor quotations.
- Prepare estimate worksheets and bid documentation.
- Complete subcontractor bid comparison sheets.
- Prepare bid books, bid bonds, and supporting documentation.
- Submit bids and attend bid openings as required.
Client & Field Coordination
- Meet with property owners and clients to review project requirements and prepare quotations.
- Coordinate with field personnel, inspectors, suppliers, and subcontractors.
- Assist project managers with daily project administration and communication.
Contract Administration
- Prepare contracts and supporting documents for executive review and signature.
- Gather and submit required subcontractor and trucking company documentation for approval packages.
- Maintain organized project files and records.
Project Management Support
- Review daily construction reports.
- Update work-on-hand and project tracking reports.
- Verify completed work quantities using field reports and inspector records.
- Assist with project scheduling and progress monitoring.
Billing & Documentation
- Prepare preliminary billing (\"pencil copy\") documents.
- Support monthly invoicing and project cost tracking.
- Prepare and distribute proposals and quotations.
- Maintain accurate records of project correspondence and documentation.
Required Qualifications
Education
- High School Diploma or GED required.
- Associate's Degree preferred.
Experience
- 1–3 years of construction estimating, project coordination, or administrative experience preferred.
- Experience reading construction plans and specifications preferred.
- Experience in heavy civil, site work, utility, paving, or municipal construction is a plus.
Technical Skills
- Ability to read and interpret construction drawings and specifications.
- Basic understanding of construction estimating and takeoff procedures.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Strong organizational and documentation skills.
- Ability to manage multiple deadlines simultaneously.
Preferred Qualifications
- Experience with estimating software.
- Knowledge of municipal bidding procedures.
- Understanding of subcontractor management and procurement processes.
- Familiarity with project scheduling software.
- Experience with construction accounting or billing procedures.

Physical Requirements
