Job Description
The Grants Analyst provides professional-level management of sponsored funds with responsibility for award stewardship and post‑award operations. This includes budget development, account maintenance, oversight of expenditures, billing and invoicing, reporting, and closeout functions. The Grants Analyst supports Principal Investigators (PIs) to ensure timely, accurate, and compliant management of grant‑funded activities.
Essential Functions
- Reviews contracts and agreements for compliance, accuracy, and appropriate payment terms.
- Develops and updates budget trackers to ensure availability of funding prior to procurement approvals.
- Supports creation of grant budgets and tools for monitoring expenditures to meet sponsor and program requirements.
- Maintains electronic and paper files following established workflows.
- Establishes systems for tracking documents, vendors, consultants, and subrecipients.
- Develops and maintains clear documentation of financial workflows and sponsor requirements to ensure consistency.
- Identifies process inefficiencies and recommends improvements to enhance accuracy and reduce manual workload.
- Maintains day‑to‑day budget operations based on funding status.
- Works with PIs to ensure expenses are properly coded and compliant with sponsor and institutional guidelines.
- Tracks each grant and contract to ensure all spending meets sponsor rules.
- Prepares and submits Requests for Resources (RFRs) in conjunction with Business & Finance, ensuring timely and accurate invoicing.
- Responds to sponsor inquiries regarding fiscal or compliance requirements, including audit support.
- Performs monthly reconciliation of expenditures, resolves discrepancies, and updates projections.
- Reviews subrecipient invoices, verifies accuracy, and confirms required documentation.
- Monitors payments against agreement ceilings and communicates funding shortfalls.
- Manages all post‑award tasks including effort reporting, cost transfers, invoice payments, and project closeouts.
- Bachelor’s degree in Business, Finance, or a related field.
- Minimum of two years of experience in administration, budgeting, or financial operations preferred.
- Demonstrated ability to work with diverse populations.
- Experience in a collaborative, team‑oriented environment.
- Experience with invoicing, reconciliation, or financial reporting preferred.
- Strong understanding of basic accounting and budgeting principles.
- Familiarity with federal guidelines and procedures for grants and contracts.
- Ability to manage multiple tasks and meet concurrent deadlines.
- Strong attention to detail in deadline‑driven financial processes.
- Ability to manage recurring monthly deliverables with accuracy and consistency.
