The Electronic Health Record (EHR) & Clinical Applications Specialist provides essential support for the College of Dental Medicine’s clinical documentation and assessment systems, including Epic Health Systems, student gradebooks, and clinical assessment platforms. This role is responsible for training students, supporting faculty and clinical staff, troubleshooting system issues, and ensuring accurate and timely documentation of patient care and student assessments. As the College continues to expand its clinical operations, this position plays a key role in supporting compliance, efficiency, and seamless integration across academic and clinical environments.
Essential Functions
EHR (Epic) Support
- Serve as the primary point of contact for Epic‑related training, questions, and troubleshooting for students.
- Conduct onboarding and ongoing training on Epic workflows, documentation standards, and best practices.
- Support faculty and clinical staff with student documentation workflows and system access.
- Monitor system accuracy and identify recurring documentation or workflow issues.
- Train students on gradebook usage and clinical documentation requirements.
- Assist with troubleshooting gradebook discrepancies and technical issues.
- Monitor gradebook platforms to ensure timely and accurate assessment entry.
- Support faculty in navigating gradebook tools and interpreting student progress data.
- Provide training and guidance on digital clinical assessment and evaluation tools.
- Collaborate with faculty to ensure assessments align with clinical workflows and documentation standards.
- Support students in understanding assessment requirements and evaluation processes.
- Coordinate onboarding sessions, trainings, and workshops for Epic and clinical systems.
- Communicate system updates, workflow changes, and training opportunities to faculty and students.
- Collaborate with IT and clinical operations teams to resolve issues and support system improvements.
- Maintain training materials, documentation, user guides, and FAQs.
- Respond to support requests in a timely, professional manner and document resolutions.
- Monitor trends in system usage and recommend process improvements.
- Perform other duties as assigned to support College operations and mission needs.
Required Qualifications
- Associate’s degree or equivalent experience in healthcare, information systems, technology, education, or a related field.
- Experience working with Epic, electronic health record systems, or clinical documentation platforms.
- Strong communication skills with the ability to train and support diverse learners.
- Proficiency with Microsoft 365 tools, including Excel, Forms, and PowerBI.
- Ability to manage multiple priorities and provide timely technical support.
- Epic certification or prior experience in an EHR support role.
- Experience working in higher education or clinical training environments.
- Knowledge of dental or medical clinical workflows.
- Experience with student gradebook or assessment platforms.
