Position Summary
The Confidential Executive Assistant provides high-level administrative support to executive leadership while handling sensitive, strategic, and proprietary information with the utmost discretion. This role requires exceptional organizational skills, strong judgment, and the ability to manage competing priorities in a fast-paced, confidential environment. This position reports directly to the CEO.
Primary Responsibilities
Executive Support
- Manage complex calendars, schedule meetings, and coordinate appointments, ensuring optimal time management for the CEO.
- Prepare, revise, and proofread confidential correspondence, reports, presentations, and other documents.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense reporting.
- Act as a liaison between the executive and internal/external stakeholders, maintaining professionalism and discretion at all times.
Confidentiality & Information Management
- Handle sensitive information related to personnel, legal matters, financial data, and corporate strategy with absolute confidentiality.
- Maintain secure filing systems (digital and physical) to ensure proper storage of confidential materials.
- Exercise sound judgment in managing and communicating information on behalf of the CEO.
Operations & Project Coordination
- Assist with preparation for executive meetings, leadership discussions, and strategic planning sessions.
- Track and follow up on action items, ensuring deadlines and commitments are met.
- Support the execution of special projects, research assignments, and analytical tasks as needed.
- Monitor and manage priorities, anticipating the needs of the executive.
Communication & Stakeholder Management
- Draft and edit communications, announcements, and executive-level messages.
- Coordinate with internal departments to gather information and ensure timely delivery of requests.
- Represent the CEO professionally in communications with clients, partners, and employees.
Qualifications
Required
- 3-5 years of experience supporting C-level executives or equivalent.
- Proven ability to handle confidential and sensitive information with discretion.
- Exceptional written and verbal communications skills.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), calendar management systems, and collaboration platforms.
- Excellent organizational, time-management, and multitasking skills.
- Demonstrated ability to anticipate needs and proactively solve problems.
- Professional demeanor with a high level of integrity and discretion.
Preferred
- Associate's or Bachelor's degree in Business Administration, Communications, or a related field.
- Experience in a fast-paced corporate, legal, or executive environment.
- Familiarity with project management tools or executive productivity technologies.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to access and navigate all areas of the facility.
