Who You Are
The Renewals Coordinator plays a crucial role in supporting the Account Management team by focusing on the administrative aspects of the renewal process, such as reviewing past contracts, creating new quotes accurately, communicating with customers, and working with them to renew with Rootstock. This position ensures that all contract renewals are accurately prepared, tracked, and processed in a timely manner, enabling the Account Manager to focus on customer relationship management and strategic initiatives. The ideal candidate must be customer-centric with great interpersonal skills. They must have exceptional attention to detail, organizational skills, a proactive approach to managing administrative tasks, and must be able to effectively negotiate with customers under management guidance.
What You'll Do
- Track and manage the renewal lifecycle for all contracts to ensure deadlines are met.
- Review past contracts and prepare renewal quotations for customers via Salesforce (SFDC)
- Work closely with the account manager to manage renewal opportunity records, including quotes, updates, and renewal opportunity closure process
- Collaborate with Account Managers to coordinate customer communication related to renewals, including initial reminders, updates, and final confirmations.
- Ensure all renewal documents are complete and accurate
- Work closely with the legal and finance teams to address any discrepancies or required amendments.
- Able to support small and large clients, working effectively with a minimum of 100 accounts per quarter
- Maintain accurate records of renewal activities in CRM (SFDC) and other internal systems.
- Assist with streamlining of systems and processes to further enhance automation and efficiency in the Account Management team.
What You Bring
Requirements:
- 0 – 1 years’ experience in SaaS Renewals
- Highly Desired: 0-1 years SFDC experience or other CRM or contract management tool
- Excellent written and verbal interpersonal skills
- Strong negotiation and follow-up skills
- High level of customer service skills, including empathy and responsiveness
- Flexible and quick learner who can juggle and complete multiple priorities and projects (internally and externally) in a fast-paced, ever-changing environment.
- Strong analytical and diagnostic skills, with the ability to analyze technical challenges and derive actionable insights.
- Preferred:
- Prior work experience in a Sales or Customer Success role
- Proven experience with ERP systems, specifically in manufacturing sectors
- Proficient in Salesforce or other CRM or contract management systems
- Familiarity or direct experience with manufacturing or enterprise resource planning
