Reports To: HR & Operations Director

Job Status: Part-time, Mon-Thurs, 8:30am-2:00pm

Job Location: In-Office

Summary:

The Office Coordinator is responsible for managing the first and on-going impressions of clients, stakeholders, and staff who visit Roots Wellness Center. The primary role of the Office Coordinator is to maintain overall office functions.

The Office Coordinator will support anti-oppressive/anti-racist practice, and trauma-responsive practice, through their administrative and operations support of program staff working on site and in community to address socioeconomic and health disparity. Experience and interest in working with clients with a range of identities including age, developmental and acquired disabilities, religion, spirituality, ethnicity, race, socio-economic status, sexual orientation, relationship structure, indigenous heritage, national origin, immigration status, and gender is required.

Essential Duties and Responsibilities include the following:

  • Provide administrative support to the CEO and Supervisors as requested/needed.
  • Primary contact for building related issues, such as property management questions and repairs.
  • Backup for answering and screening phone calls.
  • Backup with receiving and sending electronic faxes.
  • Receive and distribute all incoming mail to the appropriate party.
  • Anticipate and manage the needs of the office, such as filing, ordering, and tracking supplies and office organization.
  • Organization and tracking of laptops/technology/device distribution for staff and clients.
  • Coordination and support with company-wide events such as training, annual appreciation events, and other culture-specific activities to promote employee well-being, professional development, and morale.
  • Assist in overall office and program(s) management and organization.
  • Troubleshoot and problem solve office related issues including printer and maintenance issues
  • Manage a safe and orderly office environment for clients and staff.
  • Maintain a clean, organized, and welcoming office environment.
  • Establish professional communication protocols for all first point of contact staff via phone, e-mail, and mail.
  • Oversight of day-to-day office tasks.
  • Assist with the collection, handling, documentation, and organization of urine analysis (UA) supplies and specimens in accordance with agency procedures and confidentiality requirements.
    Prepare, organize, and distribute lunches for Intensive Outpatient Program (IOP) clients, including coordinating food orders, maintaining inventory of supplies, and ensuring a clean and sanitary food service area.
  • Other related duties may be assigned.
     

Education/Experience:

  • High school diploma or equivalent required
  • At least one year of proven experience in an administrative or office support role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to handle confidential information with discretion.

Environment:

  • Office-based role with standard business hours.
  • Occasional lifting of office supplies (up to 25 lbs).
  • Fast-paced, collaborative team environment.
