Job Purpose
The Administrative Assistant provides administrative and operational support to the MPCS division to ensure efficient workflow, accurate documentation, and time communication between internal teams and external partners.
Essential Functions and Responsibilities
- Assist in the gathering of bid information to include, fabrication, installation, equipment, electrical, concrete and dirt work.
- Assist in the issuing, tracking and closing of work orders.
- Aid in the processing of warranty work orders.
- Manage filing systems (electronic and physical) and ensure document accuracy
- Assist with procurement and vendor coordination
- Track billing progression to include down payments, progressive billings and final invoicing
- Schedule and maintain MSHA records for employees and contractors
- Support compliance with company policies and safety regulations
- Other job-related duties as assigned
Knowledge, Skill and Ability Requirements
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Basic understanding of accounting principles for billing support
- Proficiency with phone systems and office software, including MS Office (Word, Excel, Outlook)
- Ability to maintain confidentiality and handle sensitive information
- Strong multitasking abilities and attention to detail.
- Ability to work effectively in a fast-paced environment and handle varied tasks.
Education and Experience
- Minimum 2-3 years of administrative experience (preferably in construction or industrial environment)
- High School diploma or equivalent required
- Bachelor’s degree in Business or equivalent field preferred
- Experience in Construction or Aggregate industry preferred
- Knowledge of MSHA regulations or willingness to learn
- Experience with data entry and record-keeping systems
Physical Demands
While performing the duties of this job, the employee must be alert and is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Working Conditions and Additional Requirements
This job operates in an office environment. Office hours are from 8:00am to 5:00pm with occasional needs outside standard business hours to accommodate meetings, training and projects. Some travel may be required. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment can be loud.
