What are the responsibilities and job description for the Executive Administrative Assistant position at Roll-N-Sweetz?
Executive & Leadership Support
- Provide direct administrative support to the Founder & CEO, ensuring he is fully prepared for meetings, calls, and daily priorities.
- Manage and protect executive schedules, prioritizing high-value meetings and filtering out distractions.
- Anticipate leadership needs by coordinating logistics, preparing briefing materials, and ensuring follow-up on key initiatives.
- Act as a trusted gatekeeper and representative of the executive office.
Communication & Liaison
- Serve as the communication hub between the executive office, store staff, and future franchisees, ensuring alignment on operations and brand standards.
- Coordinate with external partners including legal counsel, accountants, landlords, and advisors to keep compliance and negotiations on track.
- Draft, proof, and send official correspondence on behalf of the Chairwoman and CEO with professionalism and accuracy.
Operations & Oversight
- Oversee daily operations of the executive office and administrative workflows.
- Manage communication with store staff regarding scheduling, policies, inventory, and operational guidance.
- Support franchise development by preparing materials, handling onboarding communications, and maintaining organized documentation.
- Track deadlines, contracts, and deliverables across corporate and store projects.
Ordering & Resource Management
- Process and oversee supply ordering for the office, stores, and distribution operations.
- Maintain vendor relationships, ensuring timely and accurate delivery of products and services.
- Assist with building standardized ordering and inventory systems.
Finance & Recordkeeping
- Support financial operations by preparing expense reports, processing invoices, and assisting with budget tracking.
- Maintain organized records of financial, operational, and franchise documents.
- Assist with preparation of monthly and quarterly reports for the CEO.
- Coordinate with the CEO and accounting team on financial matters.
Legal & Compliance Support
- Coordinate with the legal team to maintain contracts, leases, franchise agreements, and compliance records.
- Handle confidential legal and financial documents with discretion.
- Support executives during negotiations, legal reviews, and compliance audits.
Brand & Growth Alignment
- Assist in scheduling and logistics for investor meetings, training sessions, photoshoots, and corporate events.
- Ensure communications and materials reflect the Roll-N-Sweetz brand, culture, and mission.
- Support leadership in special projects such as Roll-N-University, expansion into new markets, and strategic partnerships.
