What are the responsibilities and job description for the Legal Assistant position at Rojas Smith Attorneys PA?

RSA is searching for an independent individual who can write, communicate, prioritize and balance many tasks at once, follows instructions, is professional in client/attorney/court interactions, is bilingual, and can function without being handheld at a fast-paced, demanding, general private practice law firm. We are not excessively formal here, but you do need to meet a level of sophistication and professionalism as your role will sometimes involve being a client's first impression of our firm, and you will often communicate with other attorneys, judges, clerks, and professionals who will not tolerate rudeness nor slow service.
Qualifications required:
Some college completion or comparable office experience. Degree not required, though preferred. We are far more interested in someone who has strong transferable skills, good judgment, and a hard worker rather than someone who seems smart on paper.
Fluency in English and Spanish.
Confidentiality. You cannot discuss the drama of cases with family/others outside of work, as tempting as it may be. Client and identifying case details must be kept confidential.
Follows instructions, without difficulty. You must follow attorney instructions carefully.
Know how to ask for help as soon as you know you need it.
You must be a fast typist/producer. The attorneys need help with writing/secretarial work. This firm handles litigation, which requires voluminous discovery production. You will be expected to draft discovery requests, compile discovery responses from clients, draft basic pleading forms (entries of appearance, motion for criminal discovery, motion/order continuance, proposed orders, etc. no legal research required). If you struggle with talking on the phone, reading, writing, spelling, and proofreading, this isn't for you.
Thick skin and confidence; comfortable enforcing boundaries. Clients often come to us on their worst day and have often endured severe trauma. You will be exposed on a daily basis to triggering and tough issues such as severe injuries, death, violence, high-conflict, and children. We will train you how to handle difficult behavior and when you should seek assistance from a superior. Please evaluate whether you can handle this environment before reaching out. This is not an easy job, but it is interesting, fulfilling, stimulating, and you will not be bored or falling asleep at your desk.
Organization skills. You must keep track of physical documents and online document organization with proficiency.
Task management and focus. You must be able to assist with the management of hundreds of case files for 4-6 attorneys, while being one of 3 full-time staff.
Basic tech literacy is essential, including fluency in all Microsoft Office Suite programs (Word, Excel, Outlook, OneDrive); Adobe; and common media players. Candidates must be able to independently troubleshoot when it comes to an office printer/scan/copier, and must be able to use all tech in the office.
Easily use Zoom (setting up meetings, sending invites, logging into zoom, including connection to laptops, webcams, etc.).
Navigate My Case online case management system. Previous use or knowledge of this program is not required, but you must be comfortable noting, uploading, and organizing client documents.
Candidates must be comfortable taking initiative when noticing administrative tasks that need doing, rather than waiting for someone else to handle it. You should have the tendency to bring superiors a solution rather than another problem.
Qualifications preferred:
Bachelor's or Associate's degree, any field.
Experience in a fast-paced workplace.
Customer service experience.
Experience in a law office.
Executive assistant, legal assistant, or paralegal experience.
