Duties
- Manage front desk responsibilities, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
- Handle calendar management, scheduling appointments, meetings, and coordinating events efficiently
- Perform data entry and maintain accurate filing systems both physically and digitally using Google Workspace, Microsoft Office, and other office software
- Support bookkeeping tasks by handling invoicing, expense tracking, and financial record keeping
- Provide exceptional customer service by assisting clients with inquiries via phone or in person while practicing excellent phone etiquette
- Proofread documents, correspondence, and reports to ensure clarity and accuracy before distribution
- Assist with office management duties such as supply ordering, organizing files, and maintaining a clean, organized workspace
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Excellent computer literacy including data entry, typing speed, and document proofreading
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Strong customer service orientation with effective phone etiquette and support skills
- Experience managing multi-line phone systems and calendar scheduling tools
- Knowledge of office management best practices including filing systems, time management, and organizational techniques
