A well-established national trade association is seeking a high-level Executive Assistant & Office Manager to support its President & CEO and senior leadership team. This individual will act as a trusted right-hand partner, managing executive operations, coordinating high-level initiatives, and ensuring seamless day-to-day office functionality.

Responsibilities:
Executive Support
- Provide direct, high-level administrative support to the President & CEO
- Manage complex and ever-changing calendars, priorities, and scheduling needs
- Coordinate domestic and international travel, including itineraries and logistics
- Prepare and edit correspondence, presentations, reports, and board materials
- Serve as a gatekeeper and liaison for internal and external communications
- Coordinate executive meetings, agendas, materials, and follow-up action items
- Support Board of Directors and Executive Committee logistics and communications
Leadership & Administrative Support
- Provide administrative support to senior leadership team members as needed
- Coordinate leadership meetings, offsites, and strategic planning sessions
- Track and ensure follow-through on key initiatives and priorities
Office Management
- Oversee daily office operations to maintain a professional, efficient environment
- Manage vendors, office supplies, and facilities-related needs
- Coordinate onboarding logistics for new hires and visitors
- Support general office communications and front office responsibilities
- Provide oversight and mentorship to administrative staff
Operations & Process Improvement
- Manage expense reporting, invoicing, and basic budget tracking
- Establish and improve administrative systems and processes
- Support cross-functional initiatives and internal communications
- Identify opportunities to increase efficiency and executive productivity
Requirements:
- 5 years of experience supporting a CEO, President, or senior executive
- Prior experience in a corporate or nonprofit environment (non-government preferred)
- Exceptional organizational, time management, and communication skills
- Strong attention to detail with a high level of follow-through
- Ability to manage multiple priorities in a fast-paced environment
- High level of professionalism, discretion, and confidentiality
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Salary : $90,000 - $120,000
