Part-Time Controller / Bookkeeper Job Scope:
Role Overview:
This part-time position manages the daily financial operations, payroll processing, and monthly reconciliations for our property management company. The ideal candidate ensures accounting accuracy while maintaining smooth financial workflows for vendors and residents. This role reports soley and diretly to the Owner.
Key Responsibilities
1. Payroll Management
- Bi-Weekly Processing: Execute accurate bi-weekly payroll utilizing the Paylocity platform.
- Data Verification: Verify hourly timesheets, commissions, bonuses, mileage and deductions before submission. Sub-set data should be approved by District Supervisors.
- Reporting: Generate Payroll Bi-Weekly reports for billing of hours to properties.
- Billing: Generate Payroll Invoices to internal customers (Properties) through the use of Quickbooks. Generate transfer request for Ownership approval.
2. Accounts Payable (AP) & Accounts Receivable (AR)
- Vendor Payments: Review, code, and process invoices from contractors, utilities, and suppliers.
- Rent Collection: Monitor incoming tenant rent payments, track delinquencies, and issue late notices.
- Apply Tenant Charges: Track tenant based utility consumption and apply charges to tenant ledger per the terms of their lease.
- Disbursements: Manage security deposit refunds and owner distributions according to lease terms.
3. Reconciliation & Financial Reporting
- Monthly Reconciliation: Reconcile bank accounts, credit cards, and property management ledgers.
- Discrepancy Resolution: Investigate and fix any accounting variances or ledger errors promptly.
- Financial Reporting: Prepare monthly balance sheets, income statements, and cash flow updates.
Qualifications & Skills
- Experience: Minimum5 years of bookkeeping or corporate accounting experience. **Ideally Real Estate based**
- Software: Proven proficiency with Quickbooks Online, Paylocity and standard property management software (e.g., AppFolio, Yardi, or Buildium).
- Education: Degree in Accounting, Finance, or equivalent professional certification.
- Attributes: High attention to detail, strict confidentiality, and strong organizational skills.
- Independently: Once SOP are shown and provided the individual should be able to operate independently with little oversight from ownership to deliver the reporting required for weekly or biweekly approval. Ownership will retain final execution of the accounting functions.
Pay: $40.00 - $60.00 per hour
