Position Summary:
ROBO is seeking a highly organized and detail-oriented Coordinator to lead and execute the full client lifecycle - guiding new clients through onboarding and managing existing clients through a clean, professional offboarding when they transition off our services. This role is responsible for keeping both processes moving smoothly by coordinating schedules, tracking progress, maintaining accurate documentation, and keeping clients and internal teams informed.

The Coordinator will run onboarding and offboarding calls, manage workplans and checklists, schedule engineers, and ensure tasks stay on track from kickoff through completion. This role works closely with engineers and the Professional Services team to coordinate technical work, maintain accurate updates in HaloPSA, and ensure all client documentation is properly captured in internal systems.

While client lifecycle coordination is the primary focus, the Coordinator may also assist with enterprise initiatives or other service delivery projects as needed - helping organize schedules, track tasks, and support communication between internal teams and stakeholders.

This position is ideal for someone who thrives in a fast-paced environment, communicates clearly, and enjoys bringing structure and accountability to complex technical work. The role plays a critical part in ensuring clients experience a smooth transition both into and out of ROBO’s services, protecting the high level of service and the reputation our clients expect.

This position is ideally an "in-office" job with the candidate living in the Vancouver, WA (preferred) or Austin, TX (corporate office) areas, but a remote or hybrid position may be available as well.

Responsibilities:

Client Onboarding

  • Lead onboarding kickoff calls with new clients to review timelines, expectations, and next steps.
  • Own and execute the client onboarding checklist to ensure every step is completed accurately and on schedule.
  • Coordinate and schedule engineers for onboarding tasks, deployments, and related technical work.
  • Track onboarding timelines and deadlines daily to keep work on schedule.
  • Coordinate with procurement on hardware orders, licensing, and other required materials to ensure timely availability.

Client Offboarding

  • Coordinate client offboarding from initial notice through completion, ensuring a clean, professional, and secure transition.
  • Own and execute the offboarding checklist, including data export and handover, documentation transfer, and knowledge transfer to the client or successor provider.
  • Coordinate the deprovisioning of access, revocation of credentials, and reclamation of licenses and seats with engineers and the security team.
  • Track decommissioning of ROBO-managed assets and confirm final reconciliation, including hardware returns, final billing, and contract closure.
  • Confirm that all client access has been fully removed and that all offboarding activity is documented before close.

Documentation & Systems

  • Maintain accurate and timely updates in HaloPSA so all activities, notes, and progress are documented consistently.
  • Ensure all onboarding and offboarding documentation is properly recorded in internal systems such as ITGlue and HaloPSA.

Communication & Coordination

  • Monitor progress on active onboardings and offboardings and proactively escalate blockers or delays to leadership.
  • Serve as the communication bridge between internal teams and clients, providing timely updates and gathering required information.
  • Collaborate with engineers and the Professional Services team to coordinate technical work across client transitions.
  • Maintain a high level of professionalism and customer service in all client and internal interactions.

Qualifications:

  • 1–3 years of experience in project coordination, project support, or administrative support (IT, MSP, or technical environment preferred).
  • Experience coordinating multiple concurrent clients or projects - ideally including client transitions, onboarding, or offboarding - is a strong plus.
  • Familiarity with common MSP or project tools (HaloPSA, ITGlue, Microsoft 365, SharePoint) is a plus.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks at once, prioritize effectively, and work under pressure.
  • Able to work with technical teams and grasp basic IT concepts.
  • Comfortable working to defined timelines, dependencies, and escalation paths.
  • Proficient with PowerPoint, Excel, document creation, and task-tracking tools.
  • Strong customer service mindset and ability to build rapport with clients and internal teams.
  • Self-starter who can work both independently and collaboratively.

Pay: $28.00 - $34.00 per hour
