Position Overview
We’re looking for a highly organized Office Assistant to support our daily operations and help keep everything running smoothly behind the scenes. This role is perfect for someone detail-oriented, dependable, and eager to grow within a fast-paced, team-oriented environment. You’ll work directly with our Office Manager and leadership team to handle scheduling, customer communication, billing support, and general administrative tasks.
Responsibilities
- Answer phones and respond to customer inquiries in a friendly, professional manner
- Schedule estimates and jobs, confirm appointments, and update the daily calendar
- Assist with data entry, invoices, and payments in Jobber (or similar CRM software)
- Maintain accurate customer records and job files
- Help manage incoming leads from phone calls, social media, and website forms
- Support marketing and review outreach (follow-ups, emails, and local campaign tracking)
- Greet customers, handle mail, and keep the office organized and stocked
- Assist with weekly reports and communication between office and field crews
- Uphold Roberts’ Tree Experts’ standards of professionalism, reliability, and customer care
Requirements
- 1 year of experience in an administrative, office, or customer service role
- Strong communication and organizational skills
- Proficient with Google Workspace or Microsoft Office (Docs, Sheets, Email)
- Experience with Jobber, QuickBooks, or similar platforms a plus
- Positive attitude, strong attention to detail, and willingness to learn
- Reliable transportation and consistent attendance
- Ability to multitask and stay composed in a busy work environment
