An established insurance company in Shelton, Connecticut, is looking for a professional and personable Receptionist to be the first point of contact for clients and visitors. The ideal candidate will demonstrate excellent organizational skills, a friendly demeanor, and the ability to manage front desk operations effectively while ensuring the office runs smoothly.


Key Responsibilities:

  • Front Desk Operations:
  • Greet and assist visitors, clients, and staff with professionalism and courtesy.
  • Manage incoming phone calls, direct inquiries to the appropriate departments, and take detailed messages when needed.
  • Administrative Support:
  • Handle incoming and outgoing mail, including sorting, distributing, and organizing correspondence.
  • Assist with scheduling appointments and maintaining the office calendar.
  • Monitor and order office supplies to ensure front desk and administrative functions are seamless.
  • Client Interaction:
  • Act as the first point of contact for customers and clients, providing support, direction, and answers to general inquiries about company services.
  • Ensure a positive customer experience and maintain confidentiality and empathy during interactions.
  • Recordkeeping and Coordination:
  • Maintain reception area and conference room cleanliness and readiness.
  • Prepare and update contact sheets, directories, and visitor logs as needed.

Qualifications and Skills Required:

  • Education:
  • High school diploma or equivalent is required; an associate degree is a plus.
  • Experience:
  • 1–2 years of experience in a receptionist, administrative assistant, or customer service role is preferred.
  • Technical Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of insurance software or systems (such as Salesforce or Workday) is a plus.
  • Communication and Interpersonal Skills:
  • Excellent verbal and written communication skills, including professionalism when interacting with clients and colleagues.
  • Strong customer service skills with a positive attitude and ability to remain calm under pressure.
  • Organizational Skills:
  • Exceptional attention to detail, ability to multitask, and maintain efficient workflows.
