Responsibilities:
• Welcome visitors and clients, ensuring they are directed appropriately and provided with the necessary assistance.
• Schedule and manage meetings, conference calls, and other appointments.
• Coordinate outgoing print jobs, courier services, and project submittals.
• Handle mail and package logistics, including receiving, distributing, and preparing outgoing shipments.
• Maintain and monitor inventory levels for office supplies, placing orders when needed.
• Perform administrative tasks such as data entry, document filing, word processing, and organizing records.
• Maintain accurate and accessible filing systems for various documents.
• Support different departments with miscellaneous tasks and special projects as needed.
• Provide backup assistance for other office functions, such as answering calls and arranging food orders.
• Proven experience in receptionist or front desk roles.
• Familiarity with managing multi-line phone systems and handling inbound calls.
• Strong organizational skills and attention to detail for filing and data entry tasks.
• Ability to coordinate schedules and manage logistics effectively.
• Proficiency in basic office software and tools, including word processing and e-filing systems.
• Excellent communication skills and a customer-focused attitude.
• Ability to adapt to a variety of tasks and support multiple departments.
• Experience in concierge services or similar roles is a plus.
