We are looking for a detail-oriented and proactive Executive Assistant to provide comprehensive support to senior executives in a dynamic environment. This role requires someone with exceptional organizational skills and the ability to manage multiple priorities effectively. Based in the south metro of the Twin Cities, this position offers the opportunity to contribute significantly to the success of the business unit.
Responsibilities
- Coordinate and manage executive calendars, ensuring all meetings, appointments, and deadlines are accurately scheduled.
- Facilitate travel arrangements using Concur Travel, including booking flights, accommodations, and logistics.
- Prepare and analyze reports, presentations, and spreadsheets using Microsoft Excel and PowerPoint.
- Handle accounts payable responsibilities, including data entry and managing invoices.
- Act as a liaison between executives and internal teams, ensuring timely communication and follow-up.
- Maintain accurate and organized records for business operations and administrative tasks.
- Assist in planning and executing business events, meetings, and special projects.
- Monitor and prioritize email correspondence, responding on behalf of executives when necessary.
- Perform general administrative duties such as filing, document preparation, and office supply management.
- Minimum of 5 years of experience providing executive-level administrative support.
- Proficiency in Microsoft Excel, PowerPoint, and other Office Suite tools.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Experience with Concur Travel for planning and managing travel arrangements.
- Exceptional communication and interpersonal skills to interact with diverse stakeholders.
- Proven ability to handle sensitive information with discretion and confidentiality.
- Familiarity with accounts payable processes and data entry.
- High attention to detail and accuracy in all tasks.
