Overview:

We’re seeking a motivated and detail-oriented Accounts Payable Specialist to join our team in Venice, Florida. This is an excellent entry-level opportunity for someone looking to build a career in accounting. The role will start on a temporary basis with the potential to become permanent, and is fully on-site.

The ideal candidate will be a team player with strong organizational skills, a proactive mindset, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

• Process and enter a high volume of invoices and statements received by mail.
• Verify payment status and review invoices for discrepancies.
• Accurately import validated invoices into the accounting system.
• Communicate with suppliers to resolve invoice issues and respond to inquiries.
• Complete and validate banking forms for suppliers requesting direct deposit; perform verbal confirmations.
• Create and maintain new vendor profiles.
• Process credit card payments in accordance with company policies.
• Assist with preparation of 1099 forms.
• Support internal audits related to AP processes, vendor records, and compliance documentation.
• Participate in special projects and provide support as needed.
  

Qualifications:

• Proficiency in Microsoft Outlook, Excel, and Adobe Acrobat Pro.
• Strong organizational skills and keen attention to detail.
• Positive, friendly, and team-oriented attitude.
• Willingness to work extra hours when needed to meet deadlines.
• Self-starter with a proactive approach to problem-solving and collaboration.
• Ability to work closely with the AP Manager to support departmental operations.
• Experience with Oracle software is a plus, but not required.
• Ability to thrive in a fast-paced, high-volume environment.
