Admin Support and Payment Processing Representative
The Admin Support / Payment Processing Representative is responsible for supporting core administrative functions with a strong emphasis on accurate and timely payment processing. This role ensures the integrity of financial transactions by posting payments, reconciling accounts, and maintaining detailed records across multiple systems. In addition to payment processing, this position provides essential administrative support by managing documentation, handling correspondence, and assisting internal teams with account-related requests. The ideal candidate is highly detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment while maintaining compliance with company policies and regulatory requirements. This is a full-time, non-exempt position reporting directly to the Client Service Manager.
Responsibilities
- Accurately process daily payments, including credit card, ACH, and check transactions.
- Post payments to appropriate accounts and ensure proper allocation and reconciliation.
- Review and process payment adjustments, refunds, and account corrections as needed.
- Reconcile payment batches and research/resolve discrepancies in a timely manner.
- Maintain detailed and accurate records of all payment transactions and account activity.
- Perform data entry and validation across multiple systems to ensure accuracy and completeness.
- Scan, upload, and organize documentation, including payment records, correspondence, and client files.
- Monitor and manage shared inboxes, responding to internal and external inquiries related to payments and account status.
- Support administrative functions such as reporting, tracking spreadsheets, and maintaining logs.
- Assist with processing inbound and outbound files related to billing vendors and credit bureaus.
- Handle routine administrative requests from internal departments, including collectors and leadership.
- Review, process, and document borrower correspondence, ensuring timely follow-up where required.
- Ensure compliance with internal policies, FDCPA regulations, and applicable state and federal laws.
- Maintain confidentiality and security of sensitive financial and personal information.
- Identify process inefficiencies and recommend improvements to enhance accuracy and workflow.
- Perform additional administrative and payment support duties as assigned.
Requirements
- High School Diploma or GED required, Associates or Bachelor’s Degree preferred
- 1 year of administrative, payment processing, or data entry experience preferred.
- Strong attention to detail with a high level of accuracy in data entry and financial transactions.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Basic math skills and ability to reconcile payment information.
- Excellent organizational skills with the ability to multi-task and prioritize workload.
- Strong written and verbal communication skills.
- Ability to work independently and within a team environment.
- Effective time management and problem-solving skills.
