Administrative Support Specialist – Itasca, IL

We are seeking an Administrative Support Specialist to provide a combination of customer support, operational coordination, and administrative assistance within our distribution and service operations team. This role will work closely with customers, vendors, drivers, and internal departments to help ensure efficient day-to-day operations and high-quality service.
KEY RESPONSIBILITIES
Customer & Vendor Support
- Serve as a primary point of contact for customer inquiries, order updates, and service-related questions
- Communicate with vendors, drivers, and internal teams regarding shipment timelines, inventory updates, and operational requests
- Provide professional support while resolving customer concerns and service issues in a timely manner
Administrative & Operational Coordination
- Assist with processing documentation, tracking orders, and maintaining accurate records within internal systems
- Coordinate scheduling, follow-up communication, and operational updates with internal departments and external partners
- Support inventory and distribution operations through data entry, reporting, and file management
- Ensure all records, documentation, and customer information remain organized and up to date
Billing & Documentation Support
- Review invoices, shipping paperwork, and vendor documentation for accuracy
- Assist with resolving billing discrepancies and coordinating corrections when needed
- Maintain organized operational files and support compliance-related documentation
Team Support & Collaboration
- Work cross-functionally with customer service, operations, and leadership teams to support daily business needs
- Assist with special projects, reporting requests, and additional administrative tasks as assigned
- Participate in training and contribute to a collaborative, team-focused work environment
REQUIRED QUALIFICATIONS
- At least 1 year of experience in an administrative, customer support, coordinator, or office support role within a corporate environment
- Strong written and verbal communication skills with the ability to interact professionally with customers, vendors, and internal teams
- Comfortable handling documentation, data entry, reporting, and operational tracking
- Proficient in Microsoft Office, including Outlook, Excel, and Word
- Experience within automotive, distribution, logistics, service coordination, or supply chain industries is preferred
