The Archivist and Records Specialist oversees the full lifecycle of digital and physical records, ensuring their proper retention, organization, preservation, and accessibility. This role develops and maintains systems that support long-term digital preservation and compliant management of physical materials. Working across departments, the Archivist advances institutional memory, compliance, and access while leading policies and strategies for records management and metadata standards.
Responsibilities:
- Develop and implement records management policies, retention schedules, and access controls.
- Appraise, acquire, organize, and preserve archival materials in all formats.
- Maintain storage systems and environmental conditions for analog collections.
- Support departments with records audits, compliance, and disposition processes.
- Manage digital collections, including born-digital and digitized materials.
- Ensure long-term access and integrity of digital assets through preservation strategies such as file migration and checksums.
- Collaborate with IT to maintain secure, backed-up digital systems.
- Create and manage metadata using standards such as Dublin Core, EAD, PREMIS, and MARC.
- Ensure metadata consistency to support access and interoperability.
- Partner with internal teams and external collaborators on records and digital initiatives.
- Stay current with archival and digital preservation trends and technologies.
- Provide staff training and guidance on archival and records management best practices.
- Perform other related duties as assigned.
Qualifications:
- SharePoint experience
- Certification (CA or CRM) preferred.
- Experience managing physical and digital archival collections.
- Knowledge of archival principles, records management, and digital preservation standards.
- Familiarity with metadata and description tools.
- Strong organizational, analytical, and communication skills.
- Ability to work independently and collaboratively.
Salary : $70,000 - $95,000
