Administrative Assistant — General Office Affairs - Requires some Japanese language and cultural knowledge — ability and an understanding and appreciation of Japanese business culture. Full bilingual fluency is not required. This role will initially be fully onsite, with the opportunity to work remotely 1-2 day per week down the road once fully acclimated.
About the Role
A well-established company is seeking a proactive and detail-oriented Administrative Assistant to support its General Office Affairs function. This role is central to smooth day-to-day operations and coordinating office-wide services across a collaborative, multicultural workplace. It's a broad, multi-functional position offering exposure across office administration, facilities coordination, and cross-department collaboration — an essential part of keeping the office running well.
This is an on-site role.
What You'll Do
- Administrative Support: Handle daily administrative operations, including document preparation, filing, and general office coordination.
- Facilities & Mailroom: Coordinate maintenance and management of company vehicles, support general facilities needs, and manage mailroom operations including mail pickup, distribution, and outgoing shipments.
- Office Supply & Inventory: Order and manage inventory for office supplies and refreshments to maintain a well-functioning office environment.
- Expense Processing: Manage office-related payments, including submitting payment requests to Accounting and settling expenses through internal systems.
- Event Support: Assist with planning and coordinating company events, including holiday parties, outings, and volunteer activities.
- IT Coordination: Serve as the liaison between the IT Helpdesk and office staff to facilitate effective communication and issue resolution.
- Onboarding Support: Support onboarding and offboarding processes for team members, helping ensure smooth transitions.
What We're Looking For
Required:
- Associate's degree.
- Valid driver's license.
- Strong organizational, communication, and interpersonal skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong sense of integrity, adaptability, and the ability to stay productive and organized across competing priorities.
- Japanese language and cultural knowledge — ability and an understanding and appreciation of Japanese business culture. Fluency in Japanese is not required.
Preferred:
- Bachelor's degree.
- Previous administrative or office management experience.
- Proficiency with Microsoft Office / Microsoft 365 and general comfort with technology.
- Experience working within, or appreciation for, a multicultural business environment.
Compensation
60K, 5% bonus and excellent benefits
