Duties
- Greet patients warmly upon arrival, verify personal information, and facilitate smooth check-in procedures.
- Schedule appointments efficiently using dental practice management software such as Dentrix
- Collect and review insurance information
- Process insurance claims accurately by applying CPT (Current Procedural Terminology) codes, ICD (International Classification of Diseases) codes such as ICD-10/ICD-9, and ensure proper documentation review.
- Handle patient inquiries via multi-line phone systems with professional phone etiquette; provide clear explanations of treatment plans and billing procedures.
- Manage medical records and documentation in compliance with HIPAA regulations, ensuring confidentiality and proper filing.
- Perform collections tasks, including follow-up on unpaid claims and outstanding balances related to insurance providers.
- Maintain proficiency in EMR (Electronic Medical Records) systems like eClinicalWorks or Meditech to update patient information accurately.
- Assist with intake procedures for new patients, including gathering medical history and verifying insurance details.
- Support clinic administrative functions such as filing, data entry, typing reports, and office management tasks to keep the front desk running smoothly.
Requirements
- Proven experience in a dental or medical office setting with strong front desk or administrative support skills.
- Familiarity with dental terminology, medical coding (CPT, ICD-10/ICD-9), and insurance verification processes.
- Knowledge of EMR/EHR systems such as Dentrix, Eaglesoft, eClinicalWorks, Meditech, or Athenahealth is highly preferred.
- Strong computer skills including Microsoft Office Suite; ability to navigate multiple software platforms efficiently.
- Excellent customer service skills with a professional phone manner; ability to handle multi-line phone systems confidently.
- Bilingual abilities are a plus to serve diverse patient populations effectively.
- Understanding of HIPAA regulations and health information management standards to ensure compliance.
- Ability to review documentation thoroughly for accuracy and completeness; experience with medical billing and collections is advantageous.
- Strong organizational skills with attention to detail; capable of managing multiple tasks simultaneously in a fast-paced environment.
- Prior clinic or dental office experience is highly desirable; familiarity with dental office management software like Dentrix or Eaglesoft is preferred.
