Responsibilities
- Greet patients, answer multi-line phone systems with professionalism, and direct calls efficiently using proper phone etiquette.
- Manage calendar scheduling for meetings, appointments, and events, ensuring all commitments are organized and timely.
- Oversee vendor management by coordinating deliveries, service appointments, and maintaining positive relationships with suppliers.
- Handle clerical duties including filing, data entry, bookkeeping tasks using Dentrix and Open Dental, and maintaining accurate records.
- Support human resources functions such as onboarding new employees, assisting with training & development initiatives, and managing employee files.
- Assist with office management duties including supply inventory control, maintaining a clean workspace, and ensuring the overall organization of the office environment.
- Coordinate event planning activities for team functions or client engagements to promote team building and community involvement.
Skills
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent communication skills with the ability to interact professionally with diverse stakeholders.
- Demonstrated experience in schedule management and calendar coordination.
- Familiarity with multi-line phone systems and effective phone etiquette practices.
- Experience supervising or managing teams in an office setting is preferred.
- Knowledge of QuickBooks for bookkeeping and payroll processing is highly desirable.
- Ability to handle vendor management tasks efficiently while maintaining positive relationships.
- Background in human resources or medical office management is a plus for supporting specialized needs.
- Strong organizational skills with attention to detail in filing, record keeping, and budgeting tasks.
