Position Title: Receptionist / Administrative Assistant
Job Summary
We are seeking a highly organized, professional, and detail-oriented Receptionist / Administrative Assistant to serve as the first point of contact for our organization while providing comprehensive administrative support to ensure efficient office operations. The ideal candidate will possess exceptional communication and customer service skills, strong organizational abilities, and advanced proficiency in Microsoft Office applications.
Key ResponsibilitiesReception & Customer Service
· Greet clients, visitors, and vendors in a professional and welcoming manner.
· Respond to email efficiently.
· Manage incoming and outgoing mail, courier services, and deliveries.
· Maintain a clean, organized, and professional reception area.
Administrative Support
· Provide administrative support to management and staff.
· Schedule appointments, meetings, and conference rooms.
· Prepare agendas, meeting minutes, and follow-up documentation.
· Assist with travel arrangements, expense reports, and event coordination.
· Handle confidential information with discretion and professionalism.
Microsoft Office Responsibilities
· Create professional documents using Microsoft Word, including letters, reports, forms, and templates.
· Develop and maintain Microsoft Excel spreadsheets for data tracking, reporting, budgeting, and record management using formulas, pivot tables, charts, and data analysis tools.
· Design presentations in Microsoft PowerPoint for meetings, training sessions, and company events.
· Manage calendars, emails, contacts, and meeting invitations using Microsoft Outlook.
· Utilize Microsoft Teams for communication, scheduling, and virtual meetings.
· Organize and maintain files using OneDrive and SharePoint to ensure secure document management and collaboration.
· Assist with document formatting, mail merges, data entry, and report generation.
Qualifications
· High school diploma or equivalent required; Associate degree preferred.
· Minimum of 2–3 years of receptionist or administrative experience.
· Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, OneDrive, and SharePoint).
· Excellent verbal and written communication skills.
· Strong organizational, multitasking, and time management abilities.
· High attention to detail and accuracy.
· Professional appearance and positive attitude.
· Ability to work independently and collaboratively in a team environment.
· Strong problem-solving skills and ability to prioritize multiple tasks.
