Duties
- Manage day-to-day office operations, including overseeing administrative staff and coordinating office activities
- Maintain and update office records using spreadsheets and productivity software, ensuring accuracy and confidentiality
- Handle multi-line phone systems, direct calls professionally, and provide exceptional customer service to clients and visitors
- Organize calendar management for meetings, appointments, and events using Microsoft Office tools
- Perform data entry tasks with precision, including filing documents, updating databases, and proofreading correspondence
- Support front desk operations by greeting visitors, managing incoming inquiries, and maintaining a welcoming environment.
- Perform clerical duties such as word processing, typing reports, preparing presentations, and managing office supplies
Experience
- Proven experience in office management or administrative roles with a strong background in clerical work and customer support
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data organization
- Experience operating multi-line phone systems with excellent phone etiquette and communication skills.
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Technical proficiency in computer literacy, data entry accuracy, proofreading, filing systems, and calendar management
- Previous personal assistant or front desk experience is a plus to support executive needs and client interactions
