Job description
The Payroll Administrator will oversee and supervise the organization's payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations.
Duties and responsibilities
- Responsible for the preparation and processing of biweekly payroll for over 300 Team Members; reviews and ensures accuracy of approved timesheets, tracks and deducts all garnishments, Chapter 12, tax levies, child support orders, 401K loan deductions, along with other miscellaneous payroll deductions
- Responsible for the administration of the UKG Pro and UKG Workforce Management electronic timekeeping system
- Ensures compliance with ICI policies as well as all federal, state, and local payroll, wage, and hour laws and best practices
- Responsible for the coordination efforts between payroll, Human Resources, and Accounting to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports)
- Updates payroll records by entering changes in pay, exemptions, insurance coverage, savings deductions, scheduling, and job title and department/division transfers
- Ensures all Team Member changes are entered correctly and made on a timely basis
- Responsible for reviewing changes for proper authorization
- Maintains Team Members' files confidentially regarding payroll documentation
- Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions, including salaries, benefits, garnishments, taxes, and other deductions
- Responsible for the tracking and maintenance of Team Members' attendance records
- Performs quarterly in-depth payroll audits
- Manages all aspects of Team Members' direct deposits
- Responsible for all aspects of 401K, including audits, administration, and biweekly submittals
- Resolves and handles questions regarding payroll discrepancies by collecting and analyzing information
- Responds to Team Members' requests for payroll information
- Analyzes payroll data and practices, applying relevant laws, regulations, and principles
- Prepares and maintains accurate records and reports of payroll transactions
- Facilitate audits by providing records and documentation to auditors
- Identifies and recommends updates to payroll processing software, systems, and procedures
- Performs other duties as assigned
- Proactively addresses and corrects all unsafe behaviors and conditions
Qualifications include:
- Strong experience with UKG payroll software
- Bachelor's degree in Accounting, Business Administration, Human Resources, or related field required
- 3-5 years of related experience required
- Extensive knowledge of the payroll function, including preparation, balancing, internal control, and payroll taxes
- Strong organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Proficient with Microsoft Office Suite or related software
- Strong customer service skills
- Ability to be flexible with changing work requirements and expectations
- Navigating through multiple database applications
