Our client is a land sales and development company operating across the Southeast, specializing in second-home mountain and waterfront communities. They run land events, manage in-house acquisitions through closing, and are deeply committed to the communities they develop.
As they continue to grow, they are looking for a polished, organized, and team-oriented Office Administrator to help keep our office, people, and day-to-day operations running smoothly.
The Role
The Office Administrator will support the owner of the company and the broader team with day-to-day administrative needs, office coordination, travel planning, vendor communication, employee onboarding support, and general operational organization.
This role is a mix of office management, administrative support, and team coordination. The ideal candidate is professional, reliable, enthusiastic, and comfortable wearing multiple hats. They should enjoy being part of a team, take pride in keeping things organized, and be excited about occasionally traveling to our beautiful mountain and lake communities to support events and on-site operations during peak season.
Core Responsibilities
Office Administration & Daily Operations
- Support the day-to-day operations of the office and help ensure things run smoothly and efficiently
- Answer incoming calls, route inquiries to the appropriate team member, and serve as a professional first voice for our client.
- Manage office supplies, packages, mail, filing, and general office organization
- Assist with appointments, scheduling needs, and general administrative tasks for the company
- Help keep company documents, forms, records, and internal processes organized
- Provide support to the full team as needs arise across sales, marketing, accounting, development, and operations
Owner & Team Support
- Provide administrative support to the owner of the company and assist with company-wide coordination
- Help book travel, hotels, and accommodations for team members as needed
- Coordinate with vendors, contractors, service providers, and other outside parties
- Assist with preparing, organizing, and tracking documents, contracts, forms, and other company materials
- Help support company projects, internal initiatives, and general office needs as they come up
Employee Onboarding & Administrative Support
- Assist with basic employee onboarding and help ensure required paperwork is completed, signed, filed, and organized
- Help maintain employee-related documents and administrative records
- Support the team with company forms, acknowledgments, and internal administrative processes
- Handle sensitive information with professionalism and discretion
Accounting & Vendor Support
- Assist the accounting team with administrative support as needed
- Help organize invoices, pay stubs, receipts, vendor documents, W-9s, insurance certificates, contracts, and related records
- Coordinate with vendors and service providers to help ensure paperwork and communication stay organized
Community & Event Support
- Travel to the company's communities a few times per month during peak season to support events, sales efforts, and administrative needs
- Assist with event check-in, guest coordination, materials, supplies, and general event organization
- Work alongside the sales and marketing teams to help events run smoothly
- Be comfortable driving several hours to mountain and lake communities, with overnight accommodations provided when needed

What Success Looks Like
In the first 3–6 months, the Office Administrator will become a trusted and reliable part of the team. They will help bring structure to day-to-day processes, improve office efficiency, support the owner and broader team, keep paperwork and administrative items organized, and help ensure calls, travel, vendors, onboarding, and event support are handled professionally.
The right person will take ownership of the little things that keep the company moving, bring a positive and team-first attitude, and help the organization operate more efficiently as they continue to grow.
Salary : $60,000 - $70,000
