Administrative Assistant for Top-Producing Real Estate Agent at Riley Smith Group
This is a full-time position based in our Coconut Grove office.
POSITION OVERVIEW
Randi Connell is seeking a highly organized and motivated administrative assistant to support one of their top-producing real estate agents. The ideal candidate should have prior administrative experience, and a strong ability to organize and manage daily tasks.

RESPONSIBILITIES
Administrative Support:
- Manage daily schedule, ensuring optimal use of time.
- Handle phone calls, emails, and other correspondence professionally and promptly.
- Organize and maintain files, both physical and digital, ensuring easy accessibility.
- Maintain business trackers and project management systems to monitor workflow and progress
Transaction Management:
- Oversee real estate transactions from start to finish, ensuring accuracy and attention to detail throughout each transaction.
- Assist in preparing and organizing real estate contracts, agreements, and documents.
- Coordinate with clients, other agents, title companies, and legal professionals to ensure seamless transaction processes.
- Maintain accurate and up-to-date records of all transactions and related documentation
Marketing and Promotion:
- Create email marketing campaigns and other digital marketing materials to drive engagement and leads.
- Prepare listing presentations and CMAs (Comparative Market Analysis) to support in winning new listings.
- Assist in developing marketing materials, including property listings, flyers, brochures, and online content.
- Manage social media profiles, ensuring consistent branding and engaging content.
Client Relations:
- Provide exceptional customer service to clients by addressing inquiries and concerns promptly and professionally.
- Assist in organizing and coordinating open houses, property showings, and client events.
- Maintain client databases, keeping records of interactions and preferences.
- Attend inspections and photoshoots to support the agent and ensure smooth operations.
Strategic and Creative Operations:
- Work with realtor on business strategies, efficiency and organization in the business.
- Develop innovative business strategies to enhance efficiency and foster growth.
- Handle daily operations with creativity and precision, making adjustments as needed for optimal results.
QUALIFICATIONS
- Minimum of 2 years of experience in an administrative role.
- Strong organizational skills and attention to detail.
- Proficient in using office software and tools
- Excellent communication skills
- Self-motivated with the ability to multitask and prioritize tasks effectively.
- Experience with social media management and basic graphic design is a plus.
