Patient Access Representative responsible for welcoming patients, completing check-in/check-out, scheduling support, answering phones, verifying insurance, and completing daily work queue and in-basket tasks. Must provide excellent customer service, maintain accuracy in Epic, and work efficiently in a fast-paced clinic environment while supporting smooth patient flow and access to care.

Purpose of Job
This position is responsible for creating a positive first impression to the patients, the complete and accurate registration and scheduling for patients and various administrative duties.
Job Functions
- Efficiently registers patients, in person or via phone, capturing and verifying all required information in order to identify the patient, contact the patient, and receive proper reimbursement for services on initial claim submission.
- Completes pre-visit planning to ensure seamless patient experience.
- Assigns the appropriate Guarantor for each patient.
- Greets and provides courteous customer service to internal and external customers.
- Ensures patient receive necessary disclosures, privacy information, and sign the Consent to Treat documentation.
- Verifies insurance eligibility and benefit information using real time eligibility; reviews the insurers response to each verification request and takes appropriate action based on the response to ensure the proper insurance plan and billing address are entered into the system.
- Collects financial obligations from patients and/or refers patient to Patient Financial Services for financial counseling.
- Uses resources, tools and procedures to complete accounts in assign work queues.
- Coordinates requests for release of medical information.
- Performs other duties as assigned.
- 16 Years old
- Previous Customer Service Experience
- Ability to meet and maintain necessary background checks as aligned with position functions
- Ability to communicate in the English language for effective written and verbal correspondence in order to complete job functions as mentioned above
- Capable of making independent decisions with the use of strong critical thinking and problem solving skills
- Knowledge of basic computer functions and Microsoft Office applications
- Ability to perform basic math functions and count money
- Ability to respond appropriately to unpredictable situations and diverse patient populations
- Ability to work autonomously and as a team
- Ability to multi-task
- High school graduate or equivalent
- One year of medical office experience or completion of Medical Administrative Assistant/Medical Receptionist Certificate
- Previous electronic medical software experience
- Bilingual

Requirements

- High school diploma or GED required (post-secondary education or healthcare experience preferred)
- 1 year experience in customer service, scheduling, registration, or healthcare/front desk preferred
- Strong communication skills, professionalism, and ability to work with patients in person and by phone
- Ability to accurately collect and enter patient demographics, insurance information, and verify eligibility
- Basic computer skills required, including ability to learn and work efficiently in an EMR (Epic preferred)
- Ability to manage high volume workload including check-in, check-out, phone calls, work queues, and in-basket tasks
- Strong attention to detail, ability to multitask, and maintain accuracy under pressure
- Ability to work independently, follow workflows, and communicate issues to clinic leadership as needed
- Team-oriented, dependable, and able to maintain patient privacy and confidentiality (HIPAA compliance)
- Ability to stand/sit for long periods, interact with the public, and maintain a steady pace during peak clinic times
