Position Summary
The HRIS Administrator is responsible for the day-to-day administration, maintenance,
and support of the company’s Human Resources Information Systems, with primary
ownership of employee lifecycle transactions within ADP Workforce Now. This role
supports onboarding, employee changes, terminations, payroll-related processes, PTO
administration, reporting, data integrity, compliance, and HR systems troubleshooting
across a multi-location, multi-state organization.
The HRIS Administrator partners closely with HR, Payroll, and operational leadership to
ensure employee data is accurate, processes are followed consistently, and
transactions are completed timely and compliantly. This position also plays a key role in
process improvement initiatives, workflow standardization, audit support, and HR
systems optimization efforts designed to improve efficiency, reduce manual work, and
strengthen overall HR operations.
Key Responsibilities
HRIS & Employee Lifecycle Administration
- Administer employee data and transactions within ADP Workforce Now (WFN)
- Process new hires, employee changes, transfers, promotions, compensation updates, and terminations accurately and timely
- Support onboarding workflows, including initiation and completion tracking
- Process and maintain I-9 documentation and compliance records
- Manage employee and manager system access, including eTime permissions and troubleshooting
- Ensure organizational structure, job titles, departments, reporting relationships, and employee records remain accurate
Payroll & PTO Support
- Support payroll processing activities through accurate data entry and validation
- Run PTO accrual and usage reports each payroll cycle
- Perform manual PTO calculations for various compensation structures, including commission and base-plus-commission employees
- Process bereavement and special payroll adjustments when needed
- Create payroll batches and support payroll audit processes
- Partner closely with Payroll and HR leadership to resolve discrepancies and reduce payroll errors
Reporting, Auditing & Compliance
- Maintain data integrity across HRIS systems and workflows
- Audit HR transactions and employee records for accuracy and compliance
- Pull and distribute recurring reports, including compensation changes, hires/terms, and supporting documentation requests
- Support SOX controls, audit requests, and documentation requirements related to employee changes and payroll approvals
- Maintain accurate electronic employee files and documentation standards
Employee & Manager Support
- Serve as a primary point of contact for HRIS troubleshooting and ADP support requests
- Assist employees and managers with system navigation, password resets, and general HR systems questions
- Troubleshoot workflow issues and escalate system concerns when necessary
- Provide support and training on HR processes and system usage
Process Improvement & Systems Optimization
- Identify opportunities to simplify workflows and reduce manual processes
- Assist in redesigning HR forms, approvals, and transaction processes
- Support implementation of automated workflows and system enhancements
- Help standardize processes across multiple locations and business units
- Participate in HR systems projects, testing, upgrades, and process rollouts
Qualifications
- 3 years of HRIS, HR operations, payroll support, or HR administration experience
- Strong experience with ADP Workforce Now required
- Experience supporting multi-state employee populations preferred
- Strong understanding of HR transactions, payroll impacts, and employee data management
- Experience with onboarding, employee changes, and terminations in an HRIS environment
- Comfortable working in high-volume, deadline-driven environments
- Strong Excel and reporting skills
- Ability to manage confidential information with professionalism and discretion
- Strong organizational skills and attention to detail
- Ability to troubleshoot issues independently and drive solutions forward
Preferred Experience
- Experience supporting organizations with multiple locations or retail operations
- Experience with eTime/timekeeping administration
- Experience supporting SOX controls, audits, or compliance processes
- Experience helping redesign workflows, forms, or approval processes
- Familiarity with HR shared services environments

Leave Administration Support
- Coordinate employee leave processes in partnership with the company’s third-party leave administrator
- Initiate leave claims and maintain accurate leave records within ADP Workforce Now
- Track leave statuses, return-to-work dates, payroll impacts, and related employee changes
- Partner with Payroll, Benefits, and HR leadership to ensure accurate administration of pay and benefits during leave events
- Support employee and manager communication related to leave processes and documentation requirements
- Escalate complex compliance, accommodation, or employee relations matters to HR leadership and external leave partners as appropriate
