The Office Specialist performs administrative support duties for the Public Health Department. Job duties and tasks require excellent customer service skills, as well as professional communication skills with a variety of customers and languages spoken and accurate clerical and organizational abilities. The Office Specialists assists clients in person, on the phone, by email, text, and/or fax to inform them of services and direct them to available resources matched for their needs. This position will primarily assist with WIC services and support. Strong preference for bilingual language skills – English/Spanish or English/Somali.

- Provides efficient and effective customer service to agency WIC customers and the general public.
- Provides administrative office support duties.
- Assesses and screens for income eligibility for WIC and other public health programs.
- Independently works with multiple computerized public health software programs, such as the WIC software platform - WINNIE, MNITS, texting platforms, the public health electronic health record system- PHDoc, and an electronic public health emergency advisory notification software program.
- Screens clients for health services eligibility, including WIC, immunizations, family planning, and other programs, schedules appointments and completes appropriate paperwork.
- Performs general office duties including management of supplies, mail correspondence, returning phone inquiries, copying, developing and updating forms and resource lists, etc.
- Performs other duties as necessary
MINIMUM QUALIFICATIONS:
The position requires at least one year of post-secondary education and one to three years of office experience or equivalent.
PREFERRED QUALIFICATIONS:
Office experience in a public health setting or a healthcare setting. Bilingual skills of English/Spanish or English/Somali.
HIRING RANGE / UNION: $24.17 - $25.24 per hour / General Unit – Grade 6
HOURS: 32-34 hours/week (.8 - .85 FTE) benefit eligible position, 4 days/week. Typical work hours 7:30 or 8:00a – 4:30 pm, Monday – Thursday.
