Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and clear communication
- Handle incoming calls, direct inquiries appropriately, and provide accurate information with a friendly demeanor
- Maintain organized front desk operations, including filing, data entry, and document proofreading for accuracy
- Support office management tasks such as calendar scheduling, appointment setting, and basic bookkeeping using QuickBooks or similar tools
- Assist with clerical duties including word processing, creating reports, managing correspondence, and maintaining office supplies
- Facilitate client communication by providing timely responses via email or phone and supporting customer service initiatives
Skills
- Bilingual fluency in English and Spanish, with strong verbal and written communication skills in both languages
- Proven office management experience with excellent organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy including data entry, file management, and familiarity with multi-line phone systems
- Previous office or clerical experience demonstrating customer support capabilities and professional phone reception skills
- Ability to prioritize tasks efficiently using time management techniques in a fast-paced environment
- Experience with personal assistant duties such as calendar management and scheduling appointments
