What are the responsibilities and job description for the Executive Admin Assistant position at RH Foster Energy LLC?
We are looking for an executive administrative assistant to assist the Executive Management team on many different projects, in a variety of ways, throughout the day.
Responsibilities:
- Manage the day-to-day administrative functions of the corporate office to ensure efficient operation and compliance with company policies and procedures.
- Extremely flexible and able to juggle multiple projects and wear many hats on any given day
- Prepare and edit correspondence, communications, presentations and other documents
- File and retrieve documents and reference materials
- Collate and manage data
- Process expense reports and manage expense reimbursement
- Conduct research, collect and analyze data to prepare reports and documents
- Manage and oversee contracts with external vendors, including certificates of insurance
- Manage and maintain executives' schedules, appointments and travel arrangements
- Arrange and co-ordinate meetings and events, including coordinating catering for luncheons, and other meetings.
- Monitor, screen, respond to and distribute incoming communications
- Answer and manage incoming calls
- Receive and interact with incoming visitors
- Liaise with internal staff at all levels
- Interact with external clients
- Coordinate project-based work
Qualifications:
- At least 1 - 3 years of experience, working as an executive assistant or similar position, reporting to a high-level employee
- Bachelor's degree preferred
- MS Office, particularly Excel and Word, experience required.
- Good customer service skills
- Knowledge of standard office administrative practices and procedures
- Good verbal and written communication skills
- Strong deductive reasoning ability and problem-solving skills
- Self-driven & results-oriented with a positive outlook, and a clear focus on high quality.
- A natural forward planner who critically assesses their own performance.
