This role is essential in supporting both clients and advisors through the full lifecycle of financial planning, from onboarding to ongoing service, while also contributing to operational efficiencies and firm-wide success.
Cambium partners with RFG Advisory to support the growth and development of our Associates. All new hires in this position are connected with a mentor who will guide them through a 4-week mentorship program to learn our established processes and systems.
Location & Working Conditions:
This is a non-remote, full-time position based in a professional office setting in Flagstaff, Arizona. It requires frequent interaction with clients, advisors, and team members. The role primarily involves typical office activities such as answering phones, greeting guests, and preparing materials.

Key Responsibilities:
Client & Advisor Support
- Build and maintain strong client relationships through timely, thoughtful, and proactive service.
- Manage advisor files, including E&O certifications, CE tracking, state license renewals, and carrier appointments.
- Serve as the first point of contact for clients, greeting them professionally, offering refreshments, and ensuring meeting readiness.
- Provide excellent customer service both in person and via phone/email.
- Prepare meeting materials, conference rooms, and client documents for in-office or remote meetings.
- Assist clients with online account setup and paperless statements.
- Send client gifts/cards and maintain client engagement activities as directed.
- Confirm appointments and manage multiple calendars proactively, to include calendars of tax professionals, attorneys and advisors.
- Review client scheduling lists daily and coordinate new meetings or reviews.
- Ensure appointment details, locations, and time zones are accurate.
- Track past-due activities and notify advisors of urgent matters.
- Follow scheduling procedures, check for conflicts, and coordinate quarterly and monthly reviews with advisors.
- Maintain a clean, organized, and professional office environment.
- Open and close office, including lights, blinds, alarm, and other office systems.
- Monitor office supplies, place orders as needed and run errands for miscellaneous items.
- Handle mail, packages, and office equipment maintenance requests.
- Decorate and maintain office aesthetics and seasonal décor.
- Manage general office tasks such as plant care, garbage disposal, and surface cleaning.
- Assist with troubleshooting office technology and coordinate support as needed.
- Support event planning and execution, including advertising, compliance and administrative tasks.
- Attend service team and all-staff meetings.
- Stay current with office systems through trainings and workshops.

Requirements
Qualifications:
- Excellent verbal and written communication skills.
- High attention to detail, strong organizational and follow-up skills.
- Self-starter with the ability to manage multiple priorities efficiently.
- Willingness to learn and implement new technologies and operational processes.
- Experience in the financial services industry, preferably within an independent or multi-custodial environment.
- Proficiency in Microsoft Office Suite and Salesforce strongly preferred.
