What are the responsibilities and job description for the Construction Assistant Project Manager position at ReyCon?
The Assistant Project Manager (APM) is responsible for providing comprehensive administrative project support to Project Managers, Superintendents and VP of Construction. This role is critical to well managed projects. The APM is expected to understand the contractual obligation of ReyCon, subcontractors and the client. In addition to meeting all administrative and contractual obligations of the company, the APM is expected to track project progress v. plan, schedule, profitability, and safety. APM must work closely with the project Superintendent to identify, communicate and follow-up on project opportunities and challenges. The APM shall make sure all communications are conducted in a professional manner that reflects the company’s guiding principles.
Responsibilities
- Administrative support for Project Managers and Superintendents.
- File, catalog and distribute, plans, specifications, sketches and other construction documents via Procore.
- Assist in the preparation of RFI’s, Change Orders and Payment Requisitions.
- Track Budget and inform Project Manager(s) of financial issues or budget concerns.
- Secure applicable permits, licenses and certificates of occupancy.
- Prepare subcontracts and purchase orders for either Project Manager or VP’s signature.
- Collaborate with Project Manager weekly to update job costs, including established budget, adjustments for estimate to complete, trade and vendor award information, change order information.
- Maintain change order log and process change orders promptly.
- Implement and manage corporate subcontracting policies relative to collection of insurance certificates, release of liens, final payment certificate requisitions, etc..
- Assist Project Manager(s) in the processing of subcontractor and vendor invoices.
- Collect trade contractor/vendor warranties and guarantees, as-builts and transmit to Owner at completion of each project.
- Track subcontractor submittals and shop drawings using Procore; ensure appropriate approvals are obtained and distributed prior to ordering of materials or starting work in the field.
- Participate in conference calls and weekly site meetings.
- Prepare minutes of meetings attended for review by PM and distribution within twenty-four (24) hours following each meeting.
- Report challenges and opportunities “Real Time” to PX, Project manager and Superintendent.
- Request and prepare project closeout documents for submission when project reaches substantial completion
- Perform material take offs or evaluation as needed
- Assist with obtaining and maintaining subcontractor COIs, General Terms and Conditions, Lien Waivers
- Assist with obtaining and compiling documents for any LEED or HERs requirements/certifications
