ROLE DESCRIPTION
Revs Institute is seeking a detail-oriented and highly organized Accounts Payable & Accounting Specialist to support day-to-day accounting operations, with a primary focus on full-cycle accounts payable. 3-5 years of experience.
DUTIES AND RESPONSIBILITIES
Accounts Payable (Primary Responsibility)
- Manage the centralized Accounts Payable inbox and oversee invoice intake
- Review, code, and process vendor invoices accurately in accordance with company policies and general ledger structure
- Verify invoice details, resolve discrepancies, and coordinate with vendors and internal departments as needed
- Maintain vendor records, including setup and W-9 documentation
- Perform vendor statement reconciliations and ensure completeness of recorded liabilities
- Coordinate and execute weekly check runs, ACH, and other payment processes
- Ensure timely payments in alignment with organizational cash flow objectives
- Respond to vendor inquiries and maintain positive vendor relationships
- Maintain organized, accurate, and audit-ready AP documentation
- Take ownership of the accounts payable function, ensuring accuracy, timeliness, and adherence to established processes
Accounting Support
- Perform credit card reconciliations and ensure proper coding and documentation
- Assist with accounts receivable processing and deposits as needed
- Support month-end and year-end close processes
- Assist in maintaining accurate and organized financial records
- Provide support in preparation of internal financial reports and analysis as requested
Administrative & Operational Support
- Manage incoming mail and distribute appropriately
- Prepare and send outgoing payments, including physical checks
- Maintain check stock and coordinate check printing needs
- Ensure office equipment related to accounting (e.g., printers, supplies) is maintained and operational
- Support general administrative workflows related to accounting operations
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Associate’s degree in Accounting or Finance, but experience may be considered in lieu of education
- 3-5 years of AP/Accounting experience
- Proficiency with accounting software (Sage 300/Intacct or similar) and Microsoft Office 365 (Excel, Word, Outlook, PowerPoint)
- Excellent organizational, analytical, and time management skills.
- Ability to work independently and as part of a team, with strong communication and interpersonal skills.
