Reports To: Practice Manager
Employment Type: Part-Time at this time, 30 hours per week. Potential to grow full-time. $25/hour
Position Summary
We are seeking a friendly, organized, and detail-oriented Office Administrator / Billing Specialist to join our physical therapy practice. This position is responsible for managing day-to-day front-office operations, coordinating patient scheduling, verifying insurance benefits, handling insurance/cash billing and payments, and providing excellent customer service to patients.
The ideal candidate is comfortable working in a busy medical office, has strong attention to detail, and understands the importance of accurate insurance and billing processes.
Key Responsibilities:
Office Administration
- Greet patients and provide professional, welcoming customer service.
- Answer phones, respond to patient inquiries, and manage office correspondence.
- Schedule, confirm, and reschedule patient appointments.
- Maintain accurate patient demographic and insurance information.
- Obtain and maintain required patient forms and documentation.
- Coordinate referrals, prescriptions, authorizations, and other necessary paperwork.
- Maintain an organized and efficient front office.
- Assist the clinical team with administrative needs as necessary.
Insurance & Billing
- Verify patient insurance eligibility and benefits.
- Obtain and track prior authorizations and visit approvals when required.
- Collect copays, deductibles, coinsurance, and outstanding balances.
- Prepare and submit accurate insurance claims.
- Post payments and insurance reimbursements.
- Review Explanation of Benefits (EOBs) and insurance denials.
- Follow up on unpaid, rejected, or denied claims.
- Correct billing errors and resubmit claims as needed.
- Communicate with insurance companies regarding claims, benefits, and payment issues.
- Maintain accurate billing records and patient account information.
- Assist with patient billing questions and payment arrangements.
Qualifications
- Previous experience in a medical office, physical therapy, physician practice, or healthcare billing environment preferred.
- Knowledge of medical insurance, benefits, copays, deductibles, and claims.
- Familiarity with medical billing and electronic health record (EHR) systems.
- Strong computer and data-entry skills.
- Excellent organizational and time-management abilities.
- Strong attention to detail and accuracy.
- Professional communication and customer-service skills.
- Ability to multitask and prioritize in a busy office environment.
- Ability to handle confidential patient information appropriately.
- High school diploma or equivalent required.
Preferred Skills
- Experience with physical therapy or outpatient rehabilitation billing.
- Knowledge of CPT/ICD-10 codes and insurance billing procedures.
- Experience obtaining insurance authorizations.
- Familiarity with Medicare, Medicaid, and commercial insurance plans.
- Experience with claim follow-up and denial management.
