Position Overview
The Dental Receptionist/Treatment Plan Coordinator is the first point of contact for patients and plays a critical role in ensuring a smooth, positive experience throughout their visit. This position combines front-desk administrative duties with treatment planning responsibilities. The ideal candidate is bilingual in English and Spanish, friendly, organized, detail-oriented, and able to communicate effectively with patients about scheduling, dental procedures, insurance coverage, and financial arrangements.
Key ResponsibilitiesFront Desk & Customer Service
- Greet patients warmly and create a welcoming environment.
- Check patients in and out; ensure all registration and consent forms are completed.
- Answer phone calls, respond to inquiries, and schedule/confirm appointments.
- Manage the daily schedule to optimize provider productivity.
- Communicate clearly and professionally with patients in both English and Spanish.
- Maintain cleanliness and organization of the reception area.
Treatment Plan Coordination
- Present proposed treatment plans to patients, explaining procedures, timelines, and expected outcomes.
- Discuss financial options, including insurance benefits, co-pays, out-of-pocket costs, and payment plans.
- Work closely with the dentist to ensure accuracy of treatment plans.
- Follow up with patients regarding pending treatment and help motivate case acceptance.
- Maintain detailed knowledge of common dental procedures to better answer patient questions.
Insurance & Billing
- Verify dental insurance benefits before appointments.
- Accurately enter insurance information into the practice management software.
- Explain insurance coverage and limitations to patients in an easy-to-understand manner.
- Collect payments, co-pays, and outstanding balances.
- Prepare and submit insurance claims when necessary.
Administrative Duties
- Maintain accurate patient records and update demographic information.
- Assist with recall and reactivation programs to encourage patient retention.
- Generate daily reports and support office workflow.
- Handle confidential patient information in compliance with HIPAA.
Qualifications
- Bilingual in English and Spanish (required).
- Previous dental office or medical office experience preferred.
- Knowledge of dental terminology, procedures, and insurance plans is a plus.
- Experience with dental practice software (e.g., Dentrix, Eaglesoft, Open Dental) is helpful.
- Strong communication and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Ability to multitask in a fast-paced environment.
