Duties
- Greet visitors and manage front desk operations with professionalism and courtesy.
- Answer and route calls using multi-line phone systems, demonstrating excellent phone etiquette.
- Maintain organized filing systems for documents and records, ensuring easy access to information.
- Perform data entry tasks accurately and efficiently, utilizing both Microsoft Office and Google Workspace.
- Assist in calendar management, scheduling appointments, and coordinating meetings for team members.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
- Support bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
- Collaborate with team members on various projects, providing administrative support as required.
- Maintain confidentiality of sensitive information while adhering to office policies.
Qualifications
- Proven experience in an administrative role or similar position is preferred.
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks for bookkeeping tasks is a plus.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously while meeting deadlines.
- Strong typing skills with attention to detail for accurate data entry and documentation.
- Previous experience in office management or clerical roles is highly desirable.
- Bilingual abilities are an advantage for effective communication with diverse clients.
- Exceptional customer service skills with a focus on building positive relationships with clients and colleagues.
- Time management skills that enable prioritization of tasks effectively in a busy environment.
