Overview
Our client in Pelzer, SC is seeking an experienced Administrative Support Specialist to provide comprehensive office, documentation, and operational support for a busy department. This role requires a detail-oriented professional with strong organizational skills, excellent communication abilities, and the capacity to manage multiple tasks in a fast-paced environment. The ideal candidate is proactive, dependable, and experienced in corporate administrative functions.
Key Responsibilities
Administrative & Documentation Support
- Compile records, documentation, and data needed for standard reports; prepare materials for internal use.
- Utilize application databases to research information, pull reports, and input/update data as needed.
- Create, revise, and edit documents from rough drafts, dictation, corrected copies, or verbal instructions.
- Prepare correspondence, reports, statistical tables, forms, and other materials.
- Draft responses to routine inquiries and assist with departmental communications.
- File, organize, and maintain electronic and hard-copy records.
Scheduling & Meeting Coordination
- Schedule appointments, meetings, and conference rooms.
- Organize and coordinate meetings and special events, ensuring all logistics and materials are prepared.
- Make travel arrangements, track expenses, and submit reimbursements within company guidelines.
Operational & Departmental Support
- Input items for purchase orders and accounts payable, ensuring accurate tracking of transactions.
- Assist with monitoring and gathering information for department budget(s).
- Obtain office supplies, equipment, and services according to department needs.
- Open, sort, and distribute incoming mail; prepare outgoing mail and small shipments.
- Receive and route deliveries.
- Provide backup coverage for the receptionist when needed.
- May lead other administrative support staff as assigned.
Customer Service & Communication
- Answer incoming calls, provide information, and route inquiries appropriately.
- Communicate effectively with internal teams and external contacts to support daily operations.
Required Skills & Qualifications
- Proficiency with personal computers and job-related software (MS Office Suite required).
- Excellent written and verbal communication skills.
- Strong ability to multitask, prioritize, and work efficiently in a fast-paced environment.
- Highly detail-oriented with strong organizational and customer service skills.
- Ability to type 60 WPM.
- Knowledge of company policies and procedures preferred.
- 5β7 years of professional administrative experience required.
- Experience handling confidential information and complex administrative tasks.
Education
- Associate degree or equivalent experience required.
- Associate degree in Business or related field preferred.
