Administrative Assistant for Low Voltage Service Manager
Job Summary
The Administrative Assistant provides comprehensive administrative and operational support to the Low Voltage Service Manager. This role is critical to ensuring efficient coordination of service operations, customer communications, scheduling, documentation, and billing support within a low voltage systems environment (e.g., security, access control, CCTV, structured cabling). The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced technical services setting.
Key Responsibilities
Administrative Support
- Provide day-to-day administrative support to the Low Voltage Service Manager.
- Maintain accurate records, files, and documentation related to service jobs, contracts, permits, and compliance requirements.
- Prepare reports, correspondence, and internal communications as needed.
- Front office filing when necessary.
Scheduling & Coordination
- Schedule service calls, preventive maintenance visits, and inspections for technicians.
- Coordinate with customers, technicians, vendors, and subcontractors to confirm appointments and site access.
- Track technician schedules, timecards, and service completion status.
Customer Service
- Serve as a primary point of contact for customers regarding service requests, updates, and documentation.
- Receive and route service calls, emails, and work orders appropriately.
- Ensure timely follow-up on open service tickets and customer inquiries.
Billing & Documentation Support
- Assist with service invoicing, purchase orders, and job cost tracking.
- Verify work orders, service tickets, and materials used prior to billing.
- Support warranty documentation, service agreements, and contract renewals.
Inventory & Vendor Support
- Track service-related inventory and assist with submitting orders to purchasing for materials and supplies.
- Coordinate with vendors for quotes, deliveries, and service-related documentation.
Compliance & Reporting
- Assist with maintaining compliance documentation related to codes, inspections, certifications, and licensing requirements.
- Support audits and internal reviews by organizing required documentation.
Qualifications
- High school diploma or equivalent required; associate degree or administrative certification preferred.
- 2 years of administrative or office support experience; experience in construction, electrical, or low voltage services preferred.
- Strong organizational and time-management skills with attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Quickbook Desktop.
- Excellent written and verbal communication skills.
- Ability to handle confidential information professionally.
Preferred Skills & Experience
- Familiarity with low voltage systems (security, fire alarm, access control, CCTV, cabling).
- Experience supporting field service or technical teams.
- Basic understanding of invoicing, job costing, and service contracts.
Work Environment & Physical Requirements
- Office-based role with frequent interaction with field technicians and customers.
- Ability to sit, stand, and use standard office equipment for extended periods.
