What are the responsibilities and job description for the Front Office Assistant position at Retina Vision Consultants 360?
Under the general supervision of the office manager, administrative coordinator, and physicians, the essential functions of this position include, but are not limited to:
Essential job functions:
- Greet patients and visitors warmly, providing excellent first impression of the clinic
- Check in patient thoroughly through the check in process, verifying demographic information, insurance, and collecting copayments as needed.
- Answer incoming calls and respond to inquiries or route calls appropriately while maintaining confidentiality .
- Schedule, confirm and manage patient appointments and surgeries.
- Assist with patient check out and managing patient follow up and facilitating external referrals as needed.
- Maintain cleanliness and organization of the front office and waiting area.
- Communicate efficiently and effectively with clinical staff and physicians.
- Handle administrative tasks such as filing, data entry, and other clerical duties as needed.
- Participate in required cross-training and/or company required training (such as HIPAA, Harassment, etc.).
- Perform according to company policies and procedures and employee handbook at all times.
- Support clinic flow by collaborating with physicians and other technicians and performing other duties as assigned by immediate supervisor and executive leadership.
- Assist with translation as needed (if applicable).
Qualifications:
- High school diploma or equivalent required.
- Previous medical office or ophthalmology experience preferred.
- Knowledge of insurance verification, authorization request, and HIPAA compliance.
- Strong interpersonal and communication skills.
- Ability to multitask, stay organized and maintain a positive attitude under pressure.
Work Environment:
- Frequently adjusts or moves items weighing up to 50 lbs across office for various needs.
- Constantly operates a computer and other office productivity machinery, such as calculator, copy machine, phone.
- This position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly standing, sitting, or walking for prolonged periods; includes bending, stooping, squatting, twisting and reaching.
- Must be able to wear personal protective equipment, such as KN95 masks when necessary.
- Works overtime and weekends as needed.
- Must have sufficient ambulatory ability to move to various locations.
- Must cover front and back office as needed.
