We are looking for a full-time Executive Administrative Assistant with QuickBooks experience for day-to-day in person at our corporate office in Anaheim. This role is for someone who has passion for their work, can multitask multiple entities in a small business, has a positive attitude and enjoys people. The Executive Administrative Assistant will provide essential support and be responsible for delivering comprehensive administrative and office support to the CEO/ and Accounting Manager/Office Manager, ensuring the smooth and efficient operations in a fast-paced and always evolving environment due to state and federal compliance/DHCS/HIPAA. This role also involves managing communications, coordinating projects, meeting deadlines, QuickBooks Online knowledge is a MUST, basic accounting principles, GAAP, office clerical skills and knowledge.

Executive Assistant Responsibilities:

  • Provide dedicated administrative support, including managing calendars, scheduling meetings/calls, placing calls to vendors and handling travel arrangements.
  • Handle delegated communications/tasks according to company policies and DHCS, outside vendors, greeting/screening visitors, package deliveries, communicate and complete tasks between departments such as Human Resources, Medical, Clinical, clients, front desk, outbound/ inbound calls, responding to emails, text, Slack, and interfacing with external relations.
  • Handle complex and confidential administrative duties, ensuring all sensitive information is treated with discretion and per company policy/DHCS/HIPAA.
  • Support the daily operations of the corporate office, including maintaining office supplies and ensuring the office environment is organized and professional and DHCS compliant.
  • Assist in organizing and managing events.
  • Assist in all QuickBooks bookkeeping
  • Type documents, including strategic plans, reports, and presentations, ensuring accuracy and attention to detail.
  • Coordinate and prioritize tasks to ensure that directives are implemented efficiently.
  • Assist in the execution and management of special projects and initiatives as directed .
  • Monitor project timelines and deliverables, providing regular updates.
  • Facilitate communication and coordination across departments, ensuring that information flows smoothly and efficiently within the organization.
  • Draft and review correspondence, reports.
  • Other duties as assigned and requested.

Minimum Qualifications:

  • High school diploma or general education degree (GED) required; Bachelor’s degree in Business Administration preferred
  • 2 years of experience as an Executive Assistant

Competencies:

  • Demonstrated ability to handle confidential information with the highest degree of discretion.
  • Proven ability to work independently, managing tasks and priorities with minimal supervision.
  • Strong attention to detail and accuracy in a fast-paced, dynamic environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Slack, ,Google, QuickBooks.
  • Excellent verbal and written communication skills, along with strong problem-solving abilities.
  • Ability to manage a periodically heavy workload, meet strict deadlines, and perform effectively under pressure while maintaining composure and positive attitude.

Work Environment:

  • This role is primarily office-based with 10 % travel as required to Los Angeles facility. You be at the front desk, the face of the company. Greeting, assisting all that enter the corporate office.
