About the Role
We are seeking a highly organized, proactive, and dependable Part-Time Administrative Assistant to support the CEO in managing daily operations and business priorities. This role offers flexibility to work remotely and on-site when needed, depending on business demands, meetings, and special projects.
You will serve as a trusted partner to the CEO, helping streamline communication, manage priorities, and ensure execution across the organization.
Job Responsibilities
- Manage and optimize the CEO’s calendar and schedule
- Coordinate meetings with managers, vendors, and partners (virtual and in-person)
- Screen emails and draft professional correspondence
- Prepare presentations, reports, and internal updates
- Coordinate travel and logistics as needed
- Track deadlines, follow-ups, and action items
- Organize documents, contracts, and internal systems
- Maintain operational dashboards and reports
- Coordinate with regional managers and store leadership
- Support vendor relationships and purchasing workflows
- Conduct research and prepare summaries for leadership decisions
- Some travel may be required for meetings, site visits, and special projects
Basic Qualifications
- 2 years experience as an Administrative Assistant, Operations Coordinator, or Executive Assistant
- Exceptional organizational and time management skills
- Strong written and verbal communication
- High level of professionalism and discretion
- Proficiency in Google Workspace, Slack, Microsoft Office, and scheduling tools
- Ability to work independently and prioritize effectively in both remote and on-site settings
- Willingness to attend in-person meetings and site visits when required
Preferred Qualifications
- Mandarin Chinese language proficiency preferred (spoken and/or written)
- Experience in hospitality, restaurants, retail, or multi-unit operations

· Adaptable and calm in fast-paced, changing environments
· Proactive problem-solver with strong interpersonal skills
