We’re looking for a Payment Operations Manager to design, build, and lead the end-to-end payment operations function from the ground up. This is an opportunity to create the systems, workflows, controls, and team structure that ensure every client dollar moves accurately, compliantly, and on time.
You’ll start as both a builder and operator, creating the payment infrastructure in a scaling environment, then transitioning into oversight, optimization, and team leadership as the business grows.

What You’ll Build & Lead
Payment Infrastructure & System Design
- Design and implement the end-to-end payment processing framework
- Define payment workflows, scheduling logic, and transition rules across all program phases
- Partner cross-functionally to translate payment requirements into automation, system logic, and integrations
- Establish scalable processes that reduce manual intervention and support growth
Payment Operations Oversight
- Oversee the complete payment lifecycle, including client payments, dedicated account funding, settlement disbursements, fee collection, and refund processing
- Ensure all transactions are executed accurately, timely, and in accordance with compliance standards
- Monitor daily payment activity and quickly resolve operational issues
NSF & Payment Failure Strategy
- Design structured escalation and recovery workflows for failed payments
- Build compliant retry and communication strategies
- Analyze systemic vs. client-specific failure trends
- Drive initiatives to improve payment success and recovery rates
Settlement Payment Management
- Oversee timely disbursements to creditors
- Ensure proper sequencing of settlement payments and fee collection aligned to TSR timing requirements
- Maintain highly accurate records and confirmations
Compliance & Financial Controls
- Ensure compliance with TSR regulations, ACH / NACHA rules, and state-specific requirements
- Build internal controls, approval workflows, audit trails, and reconciliation standards
- Partner cross-functionally on audits, reviews, and reporting
- Identify and mitigate operational and financial risk
Reporting & Performance Visibility
- Define dashboards and KPIs for payment success rates, NSF trends, recovery rates, reconciliation timeliness, and disbursement SLAs
- Use data trends to drive process optimization and leadership visibility
Building & Leadership
- Build SOPs, controls, and training standards
- Establish performance expectations and quality metrics
- Create a scalable support structure as payment volume grows
Vendor & External Partner Management
- Manage relationships with payment processors and dedicated account vendors
- Monitor SLAs, escalations, and service performance
- Ensure operational alignment with external partners and system integrations
What We’re Looking For
- 3 years leading payment operations in debt settlement, debt resolution, or regulated financial services
- Deep expertise in ACH / NACHA rules, return codes, retry workflows, and reconciliation
- Strong knowledge of TSR fee timing requirements
- Experience with dedicated account structures and settlement disbursement workflows
- Proven success building or improving payment processes in a scaling environment
- Strong systems thinking with exceptional operational discipline
- Highly detail-oriented with strong ownership mindset
- Payment integrations with CRM ecosystems
- Building SOPs and training operational teams from the ground up
Preferred Experience:
- Hands-on experience with ForthPay or comparable payment platforms
- Third-party account providers such as GCS or Reliant
- Advanced Excel or Google Sheets for reconciliation and reporting
