Property Inspections & Project Assistant
Rent QC is seeking a dependable, organized, and detail-oriented Property Inspections & Project Assistant to support our Project Manager/Inspections Division. This position combines administrative responsibilities with hands-on fieldwork at rental properties throughout the Quad Cities area.The ideal candidate is comfortable working independently, communicating with tenants, property owners, contractors, and city inspectors, and keeping multiple projects organized. This is not strictly a desk position. Regular travel to rental properties, documenting conditions, taking photographs, and following up on repairs will be required.
Primary Responsibilities
- Assist with scheduling city, rental, Section 8, move-in, move-out, and property inspections.
- Conduct property walkthroughs and document maintenance, safety, cleaning, and repair concerns.
- Take clear, detailed photographs of property conditions and completed work.
- Prepare inspection summaries, punch lists, repair scopes, notices, and supporting documentation.
- Track inspection deadlines, repair progress, extensions, and reinspection dates.
- Communicate professionally with tenants, property owners, contractors, maintenance technicians, and municipal inspectors.
- Coordinate access to occupied and vacant units, including notices to enter and key management.
- Enter and update work orders, property notes, inspection results, and project information.
- Assist with obtaining repair estimates and coordinating vendors and contractors.
- Follow up to confirm that repairs have been completed correctly and within the required timeframe.
- Inspect vacant units for rent-readiness and identify outstanding cleaning or maintenance needs.
- Assist with listing photographs and property-related administrative tasks as needed.
- Maintain organized electronic records, photographs, emails, and project files.
- Provide regular updates to the Project Manager regarding inspection and project status.
- Perform other property management and project coordination duties as assigned.
Qualifications
- Strong organizational skills and attention to detail.
- Ability to manage multiple properties, deadlines, and ongoing projects.
- Professional written and verbal communication skills.
- Comfortable communicating with tenants, property owners, contractors, and city officials.
- Basic knowledge of rental property maintenance, construction, or inspections is preferred but not required.
- Ability to recognize common repair, safety, cleanliness, and property-condition concerns.
- Comfortable using email, mobile applications, online portals, Microsoft Office, and digital photographs.
- Ability to work independently, follow instructions, and provide consistent follow-through.
- Must maintain confidentiality and use good judgment when handling tenant and property information.
- Valid driver’s license, reliable transportation, and an acceptable driving record are required.
- Previous experience in property management, construction, maintenance coordination, inspections, administrative support, or a related field is preferred.
Physical and Work Requirements
- Ability to travel between properties throughout the Quad Cities area.
- Ability to walk through occupied and vacant rental properties in varying conditions.
- Ability to climb stairs, bend, crouch, and occasionally access basements, attics, or exterior areas.
- Ability to work indoors and outdoors in varying weather conditions.
- Ability to occasionally lift or carry up to 25 pounds.
- Must be comfortable entering properties where pets, pests, unpleasant odors, or unfinished repairs may be present.
Pay: $17.00 - $22.00 per hour
