The Executive Assistant provides high-level administrative and organizational support to the Lead Pastor and Executive Director at Renovation Church. This role is critical to the smooth functioning of executive leadership, enabling both leaders to focus on vision and strategic direction. The ideal candidate is highly organized, proactive, trustworthy, and able to manage confidential information with discretion while operating in a fast-paced ministry environment. RESPONSIBILITIES
Executive Support
- Manage complex calendars for the Executive Director, including meetings, appointments, and ministry commitments
- Coordinate scheduling between internal staff and external partners
- Prepare meeting agendas, briefing materials, and follow-up action items
- Draft, edit, and format correspondence, reports, and internal communications
- Serve as a gatekeeper for executive time, prioritizing requests with wisdom and professionalism
Communication & Coordination
- Act as a primary point of contact for executive offices, responding to inquiries with warmth and clarity
- Coordinate logistics for leadership meetings, staff meetings, board/elder meetings, and key church events
- Maintain organized digital and physical filing systems
- Assist with internal communication flow between departments and leadership
Confidentiality & Discretion
- Handle sensitive information related to personnel, pastoral care, finances, and church matters with the highest level of confidentiality
- Exercise discernment in managing information, requests, and access to executive leadership
Administrative & Operational Support
- Assist with expense tracking, reimbursements, and basic administrative reporting
- Support onboarding logistics for senior-level staff and key leaders
- Track projects and deadlines on behalf of executive leadership
- Help prepare documents and materials for audits, reviews, and strategic initiatives as needed
Report Directly to the Executive Director
- Meet regularly with the Executive Director to report strengths and weaknesses of the ministry, to be held accountable for job responsibilities, and also to better develop personal leadership.
