Accounts Receivable Specialist

JOB SUMMARY: The Accounts Receivable Specialist plays a critical role in managing customer billing, payment processing, collections, and account reconciliation activities. This position is responsible for receiving and posting customer payments, maintaining accurate customer account records, generating invoices, distributing customer statements, and supporting collection efforts to keep aging receivables within acceptable levels. The role works directly with customers to resolve billing questions and outstanding balances while partnering with internal teams to ensure timely invoicing and cash application. Success in this role contributes directly to accurate financial reporting, healthy cash flow, and an improved customer payment experience. 

RESPONSIBILITIES & DUTIES:

• Generate and distribute accurate customer invoices and statements based on contracts, purchase orders, and service agreements
• Receive, process, and post customer payments, including checks, ACH, wire transfers, and credit card transactions
• Monitor accounts receivable aging, maintain acceptable collection levels, and proactively follow up on past-due accounts using effective collection strategies
• Reconcile customer accounts and accounts receivable ledgers, investigate discrepancies, and resolve billing or payment issues in collaboration with customers and internal teams
• Post invoices to customer portals as required and ensure billing deadlines are met
• Maintain accurate and organized accounts receivable records within RFMS and other company systems, ensuring compliance with company policies and accounting standards
• Prepare accounts receivable reports, aging analyses, cash receipt summaries, and other management reporting
• Support month-end and year-end close activities, audits, and other accounting and finance department initiatives
• Assist with process improvements, workflow enhancements, and automation efforts related to accounts receivable operations

QUALIFICATIONS:

• At least 3 years of Accounts Receivable experience
• Experience posting payments, cash application, collections, and customer billing
• Ability to communicate effectively with customers regarding outstanding balances and payment issues
• Strong attention to detail and accuracy with financial transactions
• Proficiency in Microsoft Excel and accounting software
• Experience with RFMS is preferred
• Strong organizational and problem-solving skills
