Position Overview:
We are seeking a highly organized and clinically aware Provider Relations Coordinator to support admissions and care coordination for Kaiser-referred members. Key Responsibilities:
- Serve as a primary point of contact for Kaiser members seeking treatment, providing guidance, support, and clear next steps throughout the admissions process
- Conduct comprehensive biopsychosocial assessments for mental health and substance use treatment, ensuring clinical accuracy and appropriate level-of-care recommendations
- Manage the full admissions lifecycle from initial inquiry through placement, maintaining efficiency and attention to detail at every stage
- Coordinate directly with Kaiser representatives regarding referrals, authorizations, and member status updates
- Prepare and submit complete admission documentation, including assessments, medical records, authorization details, and admission scheduling
- Accurately document and track client information in Salesforce and Kipu EMR systems
- Communicate admission logistics and clinical details with internal teams to ensure seamless transitions into care
- Monitor discharges and ensure timely completion and submission of discharge summaries to Kaiser
- Collaborate with leadership to maintain compliance, documentation quality, and process improvement
- Uphold strict standards for confidentiality, accuracy, and regulatory compliance
- Minimum 2 years of experience in behavioral health admissions, intake, or care coordination (preferred over general customer service)
- Strong understanding of mental health and substance use disorders, levels of care, and clinical documentation standards
- Experience working with Kaiser Permanente or similar managed care systems strongly preferred
- Proficiency in Salesforce and/or Kipu EMR (or similar systems)
- Exceptional organizational skills and ability to manage multiple cases simultaneously
- Clear, professional communication skills with both clinical teams and external partners
- High school diploma required; additional education in behavioral health or related field preferred
- Ability to work at-least 50% on-site at our Larchmont offices located in Los Angeles
